Scope and Content Note

Information in the database is maintained in separate history and current cases files. The current cases file contains complaints made within the previous two to three years. The historical file contains cases closed prior to that time. Approximately once a year, older cases in the current cases file are transferred to the historical file, which is a cumulative record containing all older complaints. The contents of both files are regularly output on computer output microfilm. The microfilm negatives of the most current output are maintained by the Department of Justice at the state records center. As each set of microfiche is replaced by a more current version, it is transferred to the state archives along with a positive user copy. Since the files are cumulative, the archives maintains only the most current version which it has received.
