Administrative/Restriction Information

Access Restrictions

The unclassified personnel files in boxes 143, 144, and 219, and accessions 2012-003 and 2012-054 are restricted in accordance with UWM Personnel File Policy S-42. Access is regulated by Section III.A.2 and III.A.3. Boxes 202 and 203 are also restricted under the Family Educational Rights and Privacy Act of 1974 (FERPA). Accession 2014-012 and Accession 2014-019 also contain some restricted folders and the Archives may need to delay access to this accession for a reasonable period of time to survey the records to identify protected information. Consult an archivist for details.

Electronic files must be viewed on computers in the Archives. Contact an archivist for more information.

There are no access restrictions on the remaining materials, and the collection is open to all members of the public in accordance with state law. However, researchers wishing to view film not transferred to an access copy must make prior arrangements.

The researcher assumes full responsibility for conforming with the laws of libel, privacy, and copyright which may be involved in the use of this collection (Wisconsin Statutes 19.21-19.39).


Acquisition Information

The Office of the Chancellor transferred the Klotsche, Baum, and Horton series to the Archives prior to 1989. The Smith series was transferred in 1993 (accession 1993-002) and the Schroeder series in 2002 (accession 2002-007). The Zimpher series was transferred to the archives in 2004 (accession 2004-006). The Santiago electronic files were transferred to the Archives in 2010 (accession 2010-034). The Office of the Chancellor donated additional materials in August 2011 (accession 2011-007), November 2011 (accession 2011-016), July 2012 (accession 2012-003), September 2012 (accession 2012-023), and June 2013 (accession 2012-054). The Office of the Chancellor transferred additional materials in August 2014 (accessions 2014-005 and 2014-012), and in September 2014 (accession 2014-019).

Processing Information

The Klotsche, Baum, and Horton series had received preliminary processing before 1989. In January 1994, a team of archivists and students began the complete processing of the records from the administrations of Klotsche through Smith. The team, led by Mark A. Vargas, consisted of archivists Christel T. Maass and James P. Kusik, and students Julee Bokelman, Angela Cisco, and Maria Kolda. Processing was completed in November 1994. Brad Houston and student assistants Megan Hawley, Allen Ramsey, and Sarah Ethier completed processing the Schroeder administration records in April 2009. Brad Houston and student assistant Ashley VonRuden completed processing the Zimpher administration records (accession 2004-006) in December 2010. Charles Welborn processed additional material in August 2012. Lisa Christie processed accession 2010-034 in Fall 2012 (Brad Houston supervised). Charles Tonelli, Zac Baldauf, Hayley Jackson, and Kirstin Buvala processed accessions 2011-007 and 2012-003 in Summer and Fall 2014 (Brad Houston supervised).

In July 2011, Bob Jaeger removed the two 16mm film reels from box 80 and placed them with other film reels. The folders within the box were then re-numbered accordingly. Brad Houston processed accessions 2011-007 and 2012-023 in December 2014. Brad Houston processed the paper portion of accession 2014-005 in August 2015. Brad Houston added another box from accession 2012-023 in February 2016, and updated information about accession 2012-054 in April 2016. Phyllis Reske processed some additional materials in July 2016 (Brad Houston supervised). Ashlie Biddle processed an additional box from accession 2012-023 in April 2017 (box 224). Ashlie Biddle added a folder of dribble to Box 126 in April 2017. Brad Houston and Claire Dinkelman updated the finding aid in April and July 2017 to include information on the Web Series. Phyllis Reske added items to Box 196 in August 2017. Christel Maass processed accession 2011-016 in December 2017.

Shiraz Bhathena reappraised the already processed electronic files, and appraised the minimally processed electronic files before integrating them into the collection's already existing series in October 2022. Flash video files were converted to MP4 H264 files due to the forseeable lack of support of softwares available to play Flash Video.


Physical Characteristics and Technical Requirements

As of November 11 2022, all electronic files were accessible on an Intel Core i7-10700 CPU (2.90 GHz, 16.00 GB RAM) running Windows 10 Education Version 21H2. Software used to access the files includes Adobe Reader XI, Microsoft Office 2007, Windows Picture and Fax Viewer and VLC Media Player.
